Define the building and the work
Include the project address, building use, approximate floor area and whether this is new construction, an addition or a tenant fit-out. Identify the spaces included in the HVAC scope and any existing systems that need to remain. This helps separate a new installation from an equipment-only replacement.
Send the current plans, not just an equipment list
Share the drawing revision, available mechanical plans and the contact responsible for design questions. Describe what is already specified and what still needs a decision. Include equipment locations, duct routes and any known limits on roof or mechanical-room access. A link to plans can go in the inquiry; check that the recipient can open it.
Coordinate the installation with the construction schedule
Provide the bid deadline, anticipated construction start and the dates that matter to your project team. Note when walls or ceilings are due to close and when equipment access may change. Ask the proposal to identify scheduling assumptions and dependencies on other trades. No start date is reserved by submitting the form.
Ask for a scope you can compare
Request a written breakdown of equipment, ductwork, controls, electrical and fuel connections, removal where applicable, and any required permits or inspections. Clarify responsibility for roof penetrations, weatherproofing, access equipment and finish repairs. These are coordination questions, not a claim that every item is automatically included.
